A useful request gives someone a decision to make

Name the purchase, describe the problem, and ask for the outcome you want. “The lamp arrived with a cracked base” gives a support person something to investigate. “This is unacceptable” leaves them looking for the actual problem.

Use the optional fields for an order number, amount, previous contact, and records. The draft only includes details you provide. It does not invent a policy, claim a legal right, or promise that the seller will agree.

Before you send it

  1. Check the seller’s current return or complaints process. An email may not start a return in their system.
  2. Read every date, amount, and reference in the draft. Add the specific refund amount if it differs from what you paid.
  3. Attach relevant evidence yourself, through the appropriate channel. Keep originals and avoid sending unrelated personal information.
  4. Save the message you actually send and any confirmation. A draft is not a submission receipt.
